Staff Guide - Basic POS Operation

Introduction

The POSbiz Point of Sale software is more than just an ordering system. It allows staff members to easily take orders, bill customers, keep track of tables and create and use tabs. This basic Point of Sale manual covers the main functions you will need for daily use.

To start, make sure you are on the main start screen of POSbiz. This will show the buttons for POS, Cash Drawer, Time Clock etc
This entry screen for is the starting point for all POSbiz operations. Front of House staff will spend most of their time in Point Of Sale, POS, the green button.


Entering the Point of Sale Screen

1) Press POS
2) Enter your PIN and select your name

This is the main page of POSbiz.
Courses are listed on the left.
Selected items will display on the right.
The default menu for your site will be open and to change between menus, press on the menu name in the top left corner.


Sales

Making a Cash Sale

A customer purchases an item and is paying with cash.

1) Select the ordered items on the menu to add to the sales list on the right side of screen
2) Press Cash Sale
3) The cash drawer will open



Removing Items

A customer purchases an item from your menu but you accidentally press the wrong thing.

1) Select the item to be removed. It will be highlighted blue
2) Press Remove at the bottom of the sales list

The item will be removed from the sale.



Cash Sale Calculating the Change

A customer purchases an item from your menu and is paying cash and you are using the system to calculate the change.

1) Select items on the menu
2) Press Tender
3) Enter in the amount the customer is paying, e.g. 10.00.
4) Press Cash
The amount of change due will be displayed
5) Press Close Bill
The cash drawer will open



Sale with EFTPOS

A customer purchases an item from your menu and is paying with EFTPOS.

1) Select items on the menu
2) Press Tender
3) Press EFTPOS
4) Press Close Bill
EFTPOS dialogue will pop up and process through the transaction on Pin Pad, while the customer completes on their side
5) If accepted an accepted message will display. Press Ok

If declined you will be returned to Tender Screen to try again.



Fast Tender Keys

The Fast Tender keys are along the bottom of the main menu screen. These make processing a sale quicker.

Sale by EFTPOS using Fast Tender Keys

A customer purchases an item and is paying with Eftpos. 
Use the fast tender buttons to finalise the sale.

1) Press EFTPOS fast tender
Eftpos Dialogue will process through until Eftpos has accepted
You will be returned to menu screen on Eftpos completion.



Cash Sale using Fast Tender Keys

A customer purchases an item and is paying with a $50.00 note. Use the fast tender buttons to finalise the sale.

1) Select the item(s) on the menu
2) Press 20 fast tender button
3) Press Tender 20.00
The cash drawer will open, and any change due will be displayed at the bottom of the sales list.



Reprint Receipt

If a sale has completed through Fast Tender, or Close Bill was selected and customer asks for a receipt.

1) Press Reprint Receipt along the top right
The most recent transaction will print.



If a customer from earlier in the day requires a copy of their receipt.

1) Press System
2) Press Reprint Receipt
3) Using the arrow keys, scroll through the receipts
4) Once the correct receipt is found, press Print
If not from todays date, select the date required



Applying Discounts and Surcharges

If a discount or a surcharge is required to be added to the bill.

Through the Tender page:
This will apply discount to the whole bill.

1) Ring up sale and press Tender
2) Press Discount/Surcharge
3) Select the Discount that is to be applied to this bill.



Through Sales Screen:
This will only apply the discount to the current items of the sale.

1) Ring up a sale
2) Press Function
3) Press Discount All
4) Select the discount to apply to the current items.



Through Item:
This will apply discount to just this item.

1) Select an item
2) Press on item in sales screen
3) Press Change Price
4) Select discount to be applied to just this item.



Item Modifiers

1) Select an item in the menu
2) Press on an item in the sales list on right hand side
This will highlight it blue and open the Item Modifier screen



Add Note:

1)  In Overview press in the Note Box
2) Enter the note for this item



Change Quantity:

1) Press Quantity
2) Enter the desired quantity of this item



Add Options:

1) Press Options + or Options -
2) Select the options to be added or removed to this item



Add Sides:

1) Press Sides
2) Select through the menu to add side items to this item



Change Price:

1) Press Change Price
2) Enter the price required for this item



Chits

Chits provide an easy way to identify customers.
There are a few different options for how Chits prompt and what they prompt for, but the use is the same for each type.
Each site will have their own Chit types. 

1) Log into POS
2) Select the chit required
3) Enter the prompted information
4) Select items for sale
5) Press Tender and complete sale 

The entered Chit number displays on the dockets for that order.



Introduction to Tables

Working in a restaurant or cafe with tables or a floor plan requires careful management. This section covers the Tables functions.

Ordering on a Table

1) Press Select Table then select the Table
2) Select items on the menu
3) Press Save Table #xx
4) Press Save



Call Away a Table

You can send a docket to the kitchen when the next course is ready to be made using the call away function.

1) Press Select Table
2) Select the Table to be called away
3) Press Call Away at the bottom of the screen
4) Select the course that is to be called away
5) Press Send



Billing a Table

The billing section below is where all billing of tables is done.

1) Press Select Table and then the Table
2) Select Bill: Table #xx

OR

1) Press System
2) Press Billing
3) Press Tables
4) Select the table to be billed

From here any of the following can be done

One Person Paying for All

A customer at a table comes up to pay for the whole table.

1) Press Select next to All Guest to select all items
2) Press Bill Entire Table
3) Enter the amount the customer is tendering, e.g. 0.00
4) Press Cash
5) Press Close Bill
6) The cash drawer will open
5) Press Exit



Selecting Individual Items

Multiple customers seated at a table come up to pay. The want to pay for their own items.

1) Press All Guest - this shows all the items
2) Press items to select and deselect them. 
Selected items are orange
3) Press Bill Selected and take the payment
4) Repeat from step 2) until all items have been paid for
5) Press Exit to return to Sales screen



Splitting Payment Evenly

Multiple customers seated at a table come up to pay. They want to split the bill and each pay an even amount.

1) Press Select next to All Guest to select all items
2) Select Split Payment
3) Enter the number of ways to split the bill and press Ok
4) Press Pay for 1 and take the payment
5) Press Split Payment
6) Repeat for remaining customers

If a customer wants to pay for two or more portions of the bill
1) Press the up arrow next to Pay for 1 to change it to Pay for 2
2) Press Pay for 2 and take the payment



Changing Your Operator PIN

From time to time you may wish to change your personal operator PIN number.
All sales made while you are logged in are logged against your user.
This is your private PIN number that ensures your operator name is not used by another staff member.

1) Press Time Clock
2) Enter your existing PIN number and select your name
3) Press Change PIN
4) Enter your new number then press OK
5) Enter your new PIN again and then press OK

New Pin’s must be at least 2 digits long.
